    i believe the best ways is to have a written down communication plans to avoid ambiguity, tailoring your style to suit the stakeholder you are talking to and fitting your style to their personality. in other words, speak their language.

    Communication before the project is important to know how the project will run also communication while the project is on going is important to track the success, failures and possible challenges so that they can be fixed on time. Also still communicate after the project to maintain relationship with your stakeholders and team members.

I found out and noticed in my organization that whenever the process of achieving an objective is not moving at the right and expected pace, it is usually surrounded by lack of effective communication.     Communication in my organization is very crucial as this helps to Foster a positive and collaborative environment.
    For parents, we adopt a two-way Communication where feedbacks are received through parent-teacher meetings. We ensure that Communication is also very timely as this will keep them updated about the organization’s goals, and weekly and weekly progress of their wards.
    Also, the medium or strategy mostly used in communicating with parents is newsletters.
    For the teachers, Communication helps them stay on board with the organizational goals and also helps to build trust and this is achieved through period meetings either one-on-one or general staff meetings.

  37. In my approach to handling stakeholders, I prefer having one-on-one conversations before bringing everyone together in a group setting. This method helps in smoothing out potential conflicts and ensuring a better understanding among all parties involved. I’ve noticed that, sometimes, the only thing stakeholders share in common is the project itself. They come from various backgrounds, have different perspectives, and might not always see eye to eye.

    By reaching out individually first, I get to build a personal connection with each stakeholder. It gives them the chance to express their thoughts and concerns privately. This helps in avoiding conflicts that could arise in a larger group. Additionally, I believe in gathering solutions from each stakeholder during these one-on-one talks. It gives me a chance to analyze their perspectives before we come together as a group.

    I find that this individualized approach goes a long way in building trust. It shows stakeholders that I value their opinions and respect their unique viewpoints. Plus, tailoring my communication to their background and concerns helps in creating a more positive and open dialogue.

  38. Drawing from the lessons shared and aligning them with the context of my job as a humanitarian. When ensuring the deliverables of my task at on time, precise and detailed, the needs for constant and regular communication is key between project manager, his project team members in the field, partners and stakeholders is paramount in meeting datelines and achieving the objectives of the project as a whole. And also a written communication for specific set of team members comes in handy in different streter of the projects couple with knowing the needs of your audience in every communication helps to tailor how a manager communicate effectively with stakeholders.

  39. From the lesson given it is important to have a good style of communication, not necessarily great but as time goes on it will become essential in how to convey information to different stakeholders in the project.
    As well, it is important to note that the sensitivity of information to be shared or disclosed to the stakeholders matters; for instance, bringing a negative or bad report to the first (general) meeting of stakeholders is NOT a good move rather what should be done is to communicate discretely and separately with each stakeholder.

My technical manager for example during field work, I observed when field technicians communicate their challenges at every stage without a solution he gets frustrated about the situation, he doesn’t entertain too many explanations without solution or getting the job done. So what I do is when I’m giving him report from my end, I’d be sure to have done a few troubleshooting and tried all possible solutions from my end before giving him a detailed report including observation, troubleshooting, adopted methods to get solution. These approach has always worked as we have less issues even if I’m not able to delivered a desired result personally. We then work on a solution together. In essence, As much as communication is key in every project in order to achieve desired goal, so is the way or method of disseminating information also important. This is to avoid misinformation I.e passing the right information to the wrong stakeholder as each stakeholders have their level of understanding of the project. I.e Stakeholders have different interests and priorities about the project.

    For example, my clients are more interested in the efficacy, durability and sustainability of the project hence, they’re more interested in the progress and less of challenges and setbacks in the project. Sponsors are motivated by information that gives them the motivation that their resources are being put to good use. So while communicating with these stakeholders, letting them know of the challenges and setback in the proces, we need to also communicate the best solution as an assurance that we know what we are doing.
    Peers and project team are the best people to confide in. As regarding the project, they’re actively involved, they’re in place to foresee the outcome of each stage of the project in terms of experience etc. they can offer solution in times of challenges.

So in this case the question “what do you think…?” comes in handy. You might want to prepare a comprehensive detailed report for him and at the same time brainstorm to get possible solutions and present them too. Even if he doesn’t change what you have in mind, he might be of help fine-tuning or generating more possible solutions.
