Apply what you’ve learned (PM Course Discussion)

Put yourself in the role of a project manager collaborating with MTD, an events company.

Considering the difficulties and problems that MTD encounters in their projects, what insights have you gained this week that could offer assistance?

If an iterative approach were employed in organizing an event as a project, what would be the consequences? Similarly, what are the implications of adopting an agile approach? If the company sought your advice, what would you recommend?

  1. As a Project manager, I would use the hybrid approach as one can be prepared for unplanned situation.
to put into proper management time, and overcome unplanned circumstances, if adopted, the iterative approach would help save the company extra time to brainstorm afresh in the case of unexpected events.
The implication of using agile framework is that it enables us to focus on a time frame. It gives room for the stakeholders to review the project and see if it is worth indulging.
The agile approach if adopted, will simply show how prepared the organization is to tackle issues head on while executing an ongoing project.

  2. To select the best approach for projects, I need to consider:
    • Project complexity
    • Team skills
    • Company culture
Hybrid approach: Combines structure with flexibility.
Agile approach: Focuses on adaptability, collaboration, and working in small steps.
By evaluating these factors, i can choose the most effective approach for our projects.

  3. it’s important I understand the scope of the project to see which approach is suitable for such project. Then I consider using hybrid or agile approach.hybrid approach is used to prepared the unforeseen circumstances ,In order to properly manage time and overcome unplanned situations, if adopted, the itinerative approach would help save the company extra time to brainstorm afresh in the case of
    unexpected events.
If the agile approach is deployed, it simply denotes the readiness of the organization to tackle issues head on while executing the ongoing project.

  4. As a Project manager collaborating with MTD I would suggest hybrid approach as it helps in preparing for an unforeseen circumstances circumstances in a project. This will help me communicate and buy enough time.
Hybrid approach will also help in establishing clear lines of communication among the team, clients and the organization that will build trust, respect and transparency and will also help avoid any form of delay in project.
Hybrid also helps in allocating resources when a thorough analysis is conducted.

  5. As a PM at MTD, I would rather the hybrid approach as one can then be prepared for unforeseen circumstances.
In order to properly manage time and overcome unplanned situations, if adopted, the itinerative approach would help save the company extra time to brainstorm afresh in the case of unexpected events.
If the agile approach is deployed, it simply denotes the readiness of the organization to tackle issues head on while executing an ongoing project.

  6. Before I can decide to use the iterative approach for an event, it’s important I understand the scope of the project to see if the approach is suitable for such project. It could be that combining both approaches might be the one to get the work done.
The implications of using agile framework is that it helps to focus on a time frame. It gives room for the stakeholders to review the project and see if it’s worth doing.

  7. Considering the problems of communication, available of water source, management of resources and feedback from sponsors, if i were a project manager with MTD, i would recommend the use of the hybrid approach simply put (the linear and iterative or agile practices) this will help in reprioritizing which tasks are more important and completing them within the short period assigned for the project.
It also helps to maintain transparence, visibility and being accountable to the stakeholders that way the sponsors are assured that the project team are on the job.

  8. Insights for MTD’s Project Challenges
This week’s insights highlight several key areas that MTD could focus on to alleviate their project difficulties:

    – *Enhanced Communication:* Establishing clear lines of communication among team members and stakeholders can significantly reduce misunderstandings and project delays. Regular check-ins and updates can foster a more collaborative environment.

    – *Identifying Bottlenecks Early:* Implementing tools for tracking project progress can help in identifying bottlenecks early on. This could involve using project management software to visualize workflows and identify areas where delays are occurring.

    – *Resource Allocation:* Conducting a thorough analysis of resource allocation can help ensure that the right team members are assigned to the right tasks. This can improve efficiency and morale, as team members will be working within their areas of expertise.

Consequences of an Iterative Approach in Event Organization

    – *Time Consumption:* Continuous iterations may extend the overall timeline, especially if frequent adjustments are needed.
    – *Scope Creep:* If not managed properly, iterative developments may lead to scope creep, where the original goals of the event evolve and expand beyond what was initially planned.
    – *Resource Strain:* Frequent changes might require additional resources or could lead to burnout among team members who are continually adapting to new directives.

Implications of Adopting an Agile Approach
Adopting an agile approach can have several implications:

    – Increased Responsiveness: Agile promotes a quick response to changes, enabling teams to adapt to new information, stakeholder feedback, or market shifts rapidly.
    – Customer-Centric Focus:* Agile methodologies often emphasize customer feedback, which can lead to deliverables that better meet user needs and expectations.
    – *Empowered Teams:* Agile frameworks often empower teams to make decisions, leading to a sense of ownership and motivation among team members.
    – *Iterative Delivery:* Projects can be completed in smaller increments, allowing for early value delivery and reducing the risk associated with large-scale rollouts.

    Recommendations for the Company:

    1. *Embrace Agile Methodologies: Consider transitioning to an agile framework, emphasizing flexibility and iterative development. This can enhance responsiveness and ensure that projects align closely with stakeholder expectations.

    2. *Invest in Training:* Provide training for all team members on agile principles, project management tools, and effective communication strategies. A well-informed team can better leverage these methodologies.

  9. As a project manager with MTD, considering their track record, a linear approach is a perfect foundation to any of their projects, however in circumstances where the environment provides zero to non portable source of water and the distance of transporting the necessary water supply is terrifying, the iterative approach will be incorporated just fine, and according to the VUCA dimensions, this poses to be an uncertainty, and the correct tool will be expert information from locals in that environment on the nearest portable source of water.

  10. Considering the Challenges and issues MTD face during projects, i have learnt that , a project manager must choose teams with high diverse and low social Cohesion. The iterative and Hybrid approach will also help because it will make the project manager to be more of a peer to the team rather than a Superior.
