Apply what you’ve learned (PM Course Discussion)

Put yourself in the role of a project manager collaborating with MTD, an events company.

Considering the difficulties and problems that MTD encounters in their projects, what insights have you gained this week that could offer assistance?

If an iterative approach were employed in organizing an event as a project, what would be the consequences? Similarly, what are the implications of adopting an agile approach? If the company sought your advice, what would you recommend?

  1. This week, I reflected on how iterative and agile approaches could help MTD handle temporary water installations at events more efficiently.

    Iterative Approach
Breaking down the project into stages (site assessment, setup, testing) allows MTD to catch issues early and adjust as needed. This method offers better quality control and risk management but may increase costs and time if each phase requires extra resources.

    Agile Approach
Agile allows for fast responses to changing client needs, involving the client closely in planning and feedback loops. This approach boosts flexibility and customer satisfaction, though it requires tight communication and can feel chaotic if the team is used to traditional structures.

    Advice
    1. Test Agile in Small Steps: Start with agile methods in minor projects to gauge team adaptation.
2.Use Iterative Steps for Critical Tasks: Break down key tasks to improve precision and reduce risk.
Strengthen Client Communication: Clear feedback loops with clients will keep expectations aligned.

By blending these methods thoughtfully, MTD could better manage complex, high-pressure events.

  2. Understanding project teams

I think the key is to try to assemble a team comprising of people with shared interest for the project goals and respecting them for who they are and for diversity they bring to the team. If a team is assembled for you, then the ability to negotiate with all parties is crucial to your success as a PM.

  3. A project team describes a group of people who come together to solve a particular, pre-determined problem, develop solutions and deliver an outcome. This is somewhat different to other teams, as it is formed specifically for a particular project usually on a short-term basis.

I think what made the teams successful is that the ability to set clear, achievable goals from the beginning. Member of the team were selected and assigned roles where they have strong points to deliver on the project. Communication within the team was regular and respectful.

  4. In the lesson, I learnt that maintaining regular engagement and communication with clients and other stakeholders was key to overcoming the challenges that would inevitably come up before or during events.

The implication is that, adopting an iterative or agile approach in managing an event would mean that MTD relies on regular feedback from client, to ensure that they are meeting the expectations of the client as the project progresses.

Because all phases of the event are implemented simultaneously, the company must have contingency plans in place to address any issues that may arise or any additional requirement that the clients may have.

  5. I have learned that iterative approach in setting up an event as a project involves breaking down the planning process into smaller, manageable cycles, with continuous refinement and improvement.

    Advantages:

#Flexibility: Adapt to changing requirements and stakeholder needs.
#Risk reduction: Identify and mitigate potential issues early.
#Improved accuracy: Refine estimates and plans through iterations.
#Enhanced stakeholder engagement: Regular updates and feedback.

    Disadvantages:

#Increased complexity: Multiple iterations can lead to scope creep.
#Resource-intensive: Requires ongoing planning, review, and adjustment.
#Potential for indecision: Overemphasis on iteration can delay final decision.

And since agile approach applies iterative and incremental principles, emphasizing flexibility, collaboration, and rapid delivery is key.

    Advantages:

#Rapid response to change: Prioritize and adapt to shifting requirements.
#Enhanced collaboration: Cross-functional teams and stakeholder engagement.
#Early value delivery: Incremental progress and tangible results.
#Continuous improvement: Retrospectives and process refinement.

    Disadvantages:

#Unclear requirements: Agile’s flexibility can lead to scope ambiguity.
#Over-reliance on team: Success depends on skilled, self-organizing teams.
#Potential for burnout: Rapid iterations can lead to exhaustion.

    Advice to the Company:

To effectively manage event planning as a project, consider a hybrid approach blending iterative and agile principles:

#Define clear goals, objectives, and success criteria.
#Establish a flexible planning framework with iterative cycles.
    #Prioritize stakeholder engagement and collaboration.
#Focus on incremental progress and tangible results.
#Regularly review and refine plans to mitigate risks.
#Balance adaptability with clear decision-making processes.

    Recommendations:

#Implement a project management methodology (e.g., Scrum, Kanban).
#Define event requirements and scope through workshops and stakeholder engagement.
#Develop a detailed project schedule with milestones and checkpoints.
#Establish a cross-functional planning team with clear roles and responsibilities.
#Schedule regular retrospectives to refine processes and improve outcomes.

    Key Performance Indicators (KPIs):

    #Event attendance and engagement metrics.
    #Stakeholder satisfaction surveys.
    #Project timeline and budget adherence.
    #Team velocity and productivity metrics.
#Continuous improvement and lessons learned documentation.

I learned that by embracing an iterative and agile approach, the company can effectively manage event planning, ensure stakeholder satisfaction, and drive continuous improvement. Thank you.

  6. The Iterative approach would enhance project planning while the agile approach would be great for project execution.

I would recommend the combination of both approaches for an excellent outcome.

As a Project manager collaborating with MTD Event company , I will apply the main phases of Project management by first going through the initiation and planning process by organizing all information available on projects at hand, having a meeting with the stakeholder/client , Define the project goals, find out the resources available which include vendors, equipment, location and more.

I will then create a budget, select schedules, establish my team and then determine roles and responsibilities by having a meeting with my team.

Subsequently using agile methodology which allows task to be completed in iteration and also allow for feedback in between the project and also be able to mitigate possible risk.

  8. As a project manager, applying the iterative approach in an uncertain situation would mean communicating with the sponsors and stakeholders of the project about the potential issues first, then with the project team. During which we strategize quick ways to curbs the situation while maintaining budget and timeline.

  9. As a project manager working with MTD, I’ve gained valuable insights into the importance of flexibility and adaptability in navigating the challenges of event management. MTD often deals with changing client requirements, tight deadlines, and the need for quick adjustments—all of which can disrupt project flow if not addressed proactively. This week, I explored how both iterative and agile approaches could provide the responsiveness and structure MTD needs to handle these demands effectively.

    Iterative Approach:
Using an iterative approach in event planning would involve breaking down the process into smaller stages, allowing for feedback from stakeholders at each phase. This input helps refine ideas, test concepts, and resolve issues early, ensuring quality and alignment with client expectations. However, this approach requires ongoing client engagement and can add time and resource demands to each phase.

    Agile Approach:
An agile approach would allow MTD to adapt quickly to changes—whether that’s budget adjustments, venue shifts, or evolving client needs. Agile emphasizes collaboration and flexible planning, which enables the team to adjust smoothly without derailing the project. While it demands a high level of team adaptability and regular updates, Agile enhances responsiveness and keeps the project on track.

    My Recommendation:
Given MTD’s fast-paced environment, I’d recommend a hybrid approach that combines both iterative and agile methodologies. The iterative approach would work well for planning stages like budgeting and vendor selection, ensuring a strong foundation, while Agile principles would be beneficial during execution, allowing the team to respond to last-minute changes seamlessly. This hybrid strategy would help MTD deliver quality events, manage client expectations effectively, and stay adaptable to the unexpected.

S a project manager, having a preference method of project management is not an option anymore for effectiveness and a successful work. There are often times that both linear and iteratic project method are needed to be applied. The two methods are of value so it therefore advisable to select tools and techniques for each approach to meet up with managing projects.
Agility is important in a team as an agile team is volatile and able to work effectively. They are productive and can respond to any situation that may arise quickly.
