Put yourself in the role of a project manager collaborating with MTD, an events company.
Considering the difficulties and problems that MTD encounters in their projects, what insights have you gained this week that could offer assistance?
If an iterative approach were employed in organizing an event as a project, what would be the consequences? Similarly, what are the implications of adopting an agile approach? If the company sought your advice, what would you recommend?
Contribute your thoughts and ideas to the discussion.

Circumstances can change and become unpredictable, so planning ahead, staying well informed can help.
Finding the appropriate approach to any given project is beneficial. In any project, it is good to think outside the box (not to be limited) and use tools that will help enhance the efficiency of the project.

Embracing Iterative Approach in Event Project Management*
I’ve discovered that adopting an iterative approach to event planning can effectively address challenges such as:
*Common Challenges:*
1. Uncertainty and changing requirements
2. Tight timelines and deadlines
3. Coordinating multiple stakeholders and vendors
4. Ensuring quality and consistency in the event experience
*Iterative Approach:*
1. Divide the project into manageable chunks (sprints)
2. Continuously gather feedback and refine the event setup
3. Embrace flexibility and adaptability throughout
*Benefits:*
1. Improved responsiveness to changing requirements
2. Enhanced collaboration and communication
3. Increased flexibility for last-minute changes
4. Better management of project risks and uncertainties
*Agile Approach Implications:*
1. Customer-centricity and delivering value to attendees
2. Embracing change as opportunities for growth
3. Fostering experimentation, learning, and continuous improvement
4. Encouraging active stakeholder participation and feedback
*Recommendations for MTD:*
1. Adopt an iterative and agile mindset
2. Establish clear goals, objectives, and success metrics
3. Foster collaboration and open communication
4. Emphasize continuous learning and innovation
5. Develop a robust risk management strategy
6. Leverage technology to enhance event planning, execution, and evaluation.
By embracing an iterative and agile approach, MTD can ensure successful event delivery, improved stakeholder satisfaction, and continuous growth.
*Key Takeaways:*
– Iterative approach enhances flexibility and responsiveness
– Agile methodology fosters customer-centricity and innovation
– Clear communication and collaboration are crucial
– Continuous learning and improvement drive success

1. Implications of an Iterative Approach
Continuous Improvement: Iterative planning allows MTD to progressively improve aspects of the event. For example, after planning the initial venue layout, feedback can guide adjustments before the final arrangement is confirmed. This would likely improve quality, as each component is refined step-by-step.
Risk Management: Iteration provides MTD with the flexibility to identify and address potential issues early. If there’s an issue with vendors or equipment, MTD can pivot or make changes in the early stages, reducing the risk of last-minute problems.
Feedback Incorporation: Iterative cycles allow feedback from clients and stakeholders at each stage, increasing the chances of delivering an event that aligns closely with client expectations.
Extended Time Commitment: Repeated cycles of improvement can require more time, so clear timelines are essential to ensure the iterations don’t cause project delays.
2. Implications of an Agile Approach
Flexibility and Responsiveness: An agile approach means MTD could respond quickly to changes, such as venue or schedule modifications, without affecting the overall quality. Agile would allow the team to shift priorities or reallocate resources as needed.
Collaboration and Transparency: Agile’s emphasis on collaboration would involve clients and stakeholders in regular planning sessions, creating transparency and a shared understanding of progress. This can help build stronger relationships and ensure the client’s vision is understood and met.
Increased Stakeholder Engagement: Agile requires frequent client engagement, which may be beneficial for aligning goals but could also require more time and effort from the client.
Resource Intensity: Agile demands continuous updates, feedback loops, and real-time adjustments, potentially requiring more resource allocation. This could mean a higher initial investment, although it can lead to better results if managed well.
3. Advice for MTD
If advising MTD on implementing these approaches, I would recommend:
Combine Agile and Iterative Techniques: MTD could adopt a “hybrid” approach, using iterative development for structured components (e.g., venue setup and logistics) and agile principles for dynamic aspects like client interaction and troubleshooting unforeseen issues.
Involve Key Stakeholders Early and Regularly: Schedule regular check-ins with stakeholders, possibly using agile-style “sprints” or review sessions after each project phase to gather input. This keeps them engaged and reduces the risk of misaligned expectations.
Create a Flexible Timeline with Clear Milestones: Define the timeline with key phases, allowing room for iterations without pushing back the final event date.
Leverage Data from Past Events: Use feedback from past projects to refine each phase, increasing efficiency. For example, MTD could use historical data to better predict setup times, vendor reliability, or attendee preferences, making both iterative and agile approaches more effective.
As a project manager, I have learnt that there is no one approach to the successful implementation of a projects. The project management profession now recognizes the value of both linear and iterative approach and the spectrum of techniques and practices that they offer to deliver successful projects in volatile, uncertain ,complex and ambiguous environment.if an iterative approach is employed the consequences are change in project scope, change in speed, increase innovation, implications of adapting an agile approach will improve flexibility and adaptability instead of iterative.

Planning an event requires that the owner of the event gets feedback about his events planning so he could know the aspects that needs to be changed and improved upon.
I will advise the company to adopt the Agile or iterative project approach as this will give them feedback as they progresses on the project.
I have learnt that project Managers can’t afford to prefer one method over another. To plan an event with MTD. It’s proper to start with a linear method. A project scope, timing and costing. Create a structured plan around it. Based on the line of events if something else arises along the line, we switch to iterative. The goal of agile or iterative is low risk and speed on completed work. Completed work is more important than project plans.

I learned that there are linear project management and iterative project management. Linear approaches are suited to more stable environments where the project scope is unlikely to change. In contrast, the iterative approach is a better choice where the environment, business strategy, and progress scope are likely to change. As a project manager, I would advise MTD, the event company to use an iterative approach in handling their projects. Similarly, the agile approach will also help the company tackle any sudden change.
