Apply what you’ve learned (PM Course Discussion)

Put yourself in the role of a project manager collaborating with MTD, an events company.

Considering the difficulties and problems that MTD encounters in their projects, what insights have you gained this week that could offer assistance?

If an iterative approach were employed in organizing an event as a project, what would be the consequences? Similarly, what are the implications of adopting an agile approach? If the company sought your advice, what would you recommend?

  1. challenges like last-minute client changes, managing team roles, and coordinating vendors. An iterative approach in event planning would allow for continuous improvement and adaptability but could slow timelines. Meanwhile, an agile approach enhances responsiveness and team collaboration, making it easier to adapt to real-time changes.

Recommendation: A hybrid method blending both approaches. Set clear phases with milestones for structured planning while using agile practices like daily check-ins and prioritizing key tasks. This would help MTD stay organized and flexible, ensuring a high-quality event aligned with client expectations.

  2. I’m Omoniyi. I will make them understand the usefulness of the agile and show them how it will work to the level of making the project a successful one.

    Thanks.

  3. I will recommend both the iterative and agile approach in this project. In organizing an event, there is no fixed way it should go,just an idea of how we want it to be.The iterative allows us test ideas and get feedbacks that serve as a guide. Because of the uncertainty of this project, its better we also combine the agile approach.
At the end ofthe event,we all get the satisfaction needed.
These two approaches allow accountability, transperency, provide assurance to stakeholders and sponsors.

  4. I will advise MTD to choose agile/interactive because of it method of bringing out the exact thing needed within a short time, and it fosters collaboration among the team and build strong relationship among the stages of the project

  5. As a project manager, planning an event for MTD require having short repeatable best of energy to build solution and get feedback at the right which are the characteristics of Agile/iterative approach.
    I will advise MTD company to adopt Agile/iterative approach its benefit are as follows;
*Speed* : Agile/ iterative approach allows to make decision and implement them quickly.
*Accountability* : In Agile iterative project the Team member Work face to face ,hand in hand thereby ensuring safety and accountability
*Transparency:* The team members make necessary decisions as early as possible

  6. For MTD, a hybrid approach combining iterative and agile methods can maximize event success. Use iterative planning in the early stages for refining core elements, but avoid too many late changes to control costs and stress. Agile methods work well closer to the event, enhancing collaboration, quick adjustments, and real-time responsiveness.

  7. my thought as a project manager is to advise through iterative methods by innovations, visibility and transparency, accountability, speed, flexibility.

  8. Some challenges and issues MTD may face in its projects include coordination with other vendors, time constraints and cost control, and budget alignment. Coordinating with multiple event vendors (lighting, sound, food, etc.) can lead to scheduling conflicts. Large events often have tight setup and takedown windows, requiring efficient operations to meet deadlines and avoid delaying other teams.
The implications of taking an iterative approach to setting up an event as a project for MTD is that the project manager can implement small changes after each phase, which is beneficial for adapting to last-minute adjustments in venue layout or unexpected requests from other vendors. The setup can be improved progressively based on initial feedback or observations from earlier phases. The implications of using an agile method are quick adaptability, customer collaboration, transparency, and continuous improvement.

  9. So here is what I think about using the Iterative approach in organizing an event, the consequences and implications of the Agile as well.

    Iterative Approach:
    Consequences:
Frequent Refinements: This approach would involve developing the event in stages, refining it over time. Each iteration could focus on a specific aspect (e.g., venue setup, guest list, logistics).
Time and Budget Implications: Since iterative approaches revisit previous stages for improvement, this could mean additional time and resource investment. The budget might stretch, especially if the iterations require reworking.
    Benefits:

Increased Quality: With each iteration, the event details would be refined and enhanced, leading to a potentially high-quality final outcome.
Reduced Final Stage Stress: Issues are likely identified and resolved in earlier iterations, so there’s less pressure on the final stage.
    Drawbacks:

Possibility of Delays: Multiple iterations can extend the project timeline if new changes arise frequently.
Resource Allocation: Extra rounds of feedback might stretch resources if not well managed.
    Agile Approach:
    Consequences:

Flexibility and Responsiveness: Agile would allow the team to adapt to new changes or last-minute adjustments, which can be very beneficial if unexpected issues arise.
Constant Client or Stakeholder Involvement: With agile, stakeholders can provide input more regularly, so their needs are continually addressed, which may lead to higher satisfaction.
    Benefits:

Increased Adaptability: The team can easily pivot if priorities shift, such as adding new features or adjusting to budget constraints.
Quick Delivery of Parts: Agile breaks down the project into smaller deliverables, so certain components of the event can be ready sooner, even if the whole project isn’t finished.
    Drawbacks:

Possibility of Scope Creep: Because agile is flexible, there’s a risk of continually adding tasks, which can overwhelm resources.
Team Alignment: Constant communication and collaboration are needed to ensure everyone’s on the same page, which can be challenging.
    Recommendation:
For a one-time, large-scale event, I’d recommend a blend of iterative and agile approaches—known as a “hybrid” approach. This would allow:

Initial planning phases to be iterative to refine major aspects (venue, guest list).
Later phases to use agile methods for on-the-spot adjustments, providing flexibility closer to the event date.

  10. Since MTD is an events company, I would suggest an iterative method.

We would systems that will gather feedback from users which will help provide solutions necessary to facilitate the success of the next project
