Communicating with stakeholders is of great importance to the Project Manager. The PM should document and highlight all information to be shared with stakeholders, understand each stakeholder’s communication style, prioritize time management, and encourage feedback. Regular project reports should be shared, and the PM should always be open to providing new information.
Relating to my organisation, you need to be a people oriented person to get daily feedback from all lines of control no matter how irrelevant and that gives you the opportunity to prioritise what needs to be communicated to the stakeholders, at what point and, how you should tailor your communication to boost stakeholders confidence and facilitate decision making and overall success.
My own thoughts on communicating with stakeholders is Proactive communication which involves anticipating and addressing stakeholders’ information needs, concerns, and expectations throughout the project lifecycle. I will d evelop a Communication Plan:
1. Define stakeholders, communication channels, and frequency.

3.Project Kick-Off Meeting: Set clear expectations and objectives.
Communicating with stakeholders involves the PM engaging the stakeholders on a one-on-one discussion to understand them individually, this helps to shape the PM’s style of communication when reporting and communicating with the stakeholders. It is best to have written report that outlines the particular team or stakeholder at a time; understanding that it can be a bit confusing to report issues to different audience makes a written report pertinent. Analyzing issues by doing a lot of research to come up with positives ideas to culminate arising issues will help the project progress to stay on track. Being tactful and sensitive to situations; also being meticulous and proactive goes a long way to prevent errors and delays.
As a Project manager, It is expedient to tailor your report to the right audience, ensure everyone is in the same time schedule, Remember not to bring bad news for the first time on a table it may give a bad view from the audience, meet individually with everyone involved before bringing it to the forum, Constant communication is necessary with all all lines of control, even to the team as communication helps us foresee problems, so we can analyze options and proffer solution before hand.
When dealing with certain information there should be Clarity of information that is been hand picked before communicated to the stakeholders involved to avoid misinterpretation so as a project manager this should be highly emphasized
As a P.M the importance of constant communication between clients/stakeholders, team members and everyone involved in a project cannot be overemphasised. It will help the project move faster and the assurance of a positive result is guaranteed.
Before any first general meeting with the stakeholders, it is important I communicate individually to the stalkholders any bad news regarding the project, that way, it won’t come as a shock to them during the meeting and also gives me a soft landing in the meeting
Good communication goes a long way in project management. It helps keeps the team on track; what we are missing, areas of improvements, deadlines etc
For me it’s still effective communication, getting to know the project, and all the factors involved in it can make you stress free, and also never be afraid of unforseen circumstances.
