It is the transfer information/message from one person to another. For most people, communication is often unconscious i.e we do it so often that we are partially unaware that we are doing it.     The line of command in an organization structure may take vertical or horizontal or cyclic form and this defines the form of organization chart. The line of command adopted is very important in conveying information among everyone invovled in the project.

When various stakeholders are given an opportunity to be involved in the various phase of a project whilst communicating steadily it makes the work easy for the PM and his team because if there is going to be a problem along the way, and the stakeholders are up to speed to that point of the project, then everyone wouldn’t be taken aback with any delays on deadlines and targets. once during a project, there were alterations in the design scope, we quickly sent this out and the contractor responded swiftly and adjusted the design on the scope even before we got to that stage. early communication is key

    1. Constant Communication: Regularly update stakeholders on project progress, milestones, and changes through various channels (e.g., email, meetings, or project management tools) as well as encourage open dialogue, ask for feedback, and be approachable to foster a collaborative environment.

    2. Planning Communications: Develop a communications plan, outlining key messages, stakeholders, and timelines, Identify potential risks, mitigation strategies, and crisis communication protocols.

    3. Feedback Mechanisms: Establish regular check-ins with stakeholders to gather feedback, concerns, and suggestions. Use surveys, focus groups, or one-on-one meetings to ensure diverse perspectives are heard.

    4. Progress Reporting: Create clear, concise, and engaging progress reports for various stakeholders (e.g., project sponsors, team members, or external partners). Also utilize visual aids like dashboards, charts, or infographics to facilitate understanding.

    5. Realistic Time Schedules: Collaborate with project teams to develop achievable timelines, milestones, and deadlines. As well as communicate these schedules to stakeholders, ensuring everyone is aware of expectations and potential constraints.

    6. Addressing Challenges: When faced with bad news, I’ll prepare a clear, solution-focused message, highlighting the issue, causes, proposed solutions and next steps then go ahead to schedule meetings with stakeholders to discuss challenges, providing a platform for open discussion and collaborative problem-solving.

    7. Stakeholder Engagement: Arrange communication strategies to diverse stakeholder groups, considering their interests, needs, and communication preferences. Also foster relationships through regular interactions, ensuring stakeholders feel informed, valued, and empowered.

Strengthening these communication strategies will help Uji Saturday grow and create a greater impact.
