As a project manager,Effective communication with team members and stakeholders is critical because it ensures alignment, builds trust, and drives project success. Clear communication keeps everyone on the same page regarding goals, progress, and expectations, reducing misunderstandings and errors. It fosters collaboration, allowing team members to share ideas, address issues, and make informed decisions. For stakeholders, regular updates and transparency build confidence in the project’s direction and outcomes. Poor communication, on the other hand, can lead to confusion, delays, and eroded trust, jeopardizing the project’s foundation. Strong communication is the glue that holds complex projects together, ensuring efficiency and accountability.

The manner in which information is passed to stakeholders is crucial. As a PM, projecting solutions to Stakeholders rather that problems is crucial. Also, communication approach differs with each stakeholders. Hence, communicating with each stakeholder individually becomes proofs to be more effective.

  4. As a project manager, effective communication is crucial and should never be overlooked. Gathering feedback is essential and should be integrated into the ongoing project. Tailor your communication style to suit the individual with whom you are interacting. It is also important to maintain communication with the team to aid the progress of the ongoing project.

Thus, the need for a project manager to communicate effectively, reaching out to every stakeholder at every stage of the project, whenever the need arises, be it positive or negative.

  6. Here is a detailed breakdown of the communication strategies stated in the video, and how it relates to my business which is interior design/furniture making;

    1. Steady Communication ✅
    Why it applies:
Design projects often evolve over weeks or months. Consistent communication with clients (on preferences, payments, or design direction) and with your team (carpenters, upholsterers, electricians, etc.) ensures smooth workflow and prevents misunderstandings.

    2. Keep Your Teams and Stakeholders Updated on Any Changes Whatsoever ✅
    Why it applies:
Changes in material availability, client preferences, measurements, or timelines must be quickly communicated to everyone involved. Failure to do this can lead to costly rework, wastage, or client dissatisfaction.

    3. Tailor Your Communication Style to Suit Whoever You Are Communicating With ✅
    Why it applies:
You speak differently to a high-end client than you would to a furniture fabricator. Adapting your tone and language helps avoid confusion and build stronger relationships. For example, with clients, you simplify technical terms; with artisans, you may use more visual cues or drawings.

    4. Write Down Notes and Key Messages You Hope to Pass, as well as Feedback ✅
    Why it applies:
Documentation is critical in design projects. Written notes during client meetings, site visits, and team discussions serve as a reference point. It ensures you’re not relying on memory and gives you a paper trail in case of disputes.

    5. Reporting is Key to Understanding the Level of Progress Made or Not ✅
    Why it applies:
Progress reports (even informal ones) help you track what has been done, what’s pending, and where delays may happen. This is especially useful when juggling multiple projects or working with remote vendors/fabricators.

    6. Do Not Be Afraid to Present Issues to the Table, but Also Endeavour to Proffer Solutions While at It ✅
    Why it applies:
Every project will have hiccups — late materials, misaligned fittings, or design clashes. Being transparent about challenges while proposing solutions (e.g., “The marble didn’t arrive, but I sourced an excellent alternative”) builds trust and keeps things moving forward.

Communicating with Project Teams is a crucial component of Project Management because it can be regarded as the link that joins all the other aspects of project management. The project manager uses communication to bring on board all stakeholders of a project.

As stated in the video, communication to stakeholders can be delivered using three strategies, that is,
    (a) Constant communication with all lines of control
    (b) Planning the communication so that the rightful information is delivered to the right stakeholder
    (c) Writing down the communication plan so that nothing is missed in the communication.

For an entity like a university, I would think all strategies of communication are important and valid in order to meet each stakeholder’s information need(s). For example, for the internal staff and students the strategy of constant communication would be vital so that they are updated about activities in the university. For the larger market, the project manager will have to plan the communication and have it delivered as and when delivered probably at the start of the project and at the end of it. To the governing authorities such as board of governors, law enforcement entities and funders the project manager will have to plan the communication so that it encompasses all aspects of the on-going project to be planned.

  9. COMMUNICATION is a lifestyle for any Project Manager. communicating with team members, clients, peers and all other stakeholders in the project. which include update on the progress of the projects, risk or problems encounter and proffering solutions to them
