  1. For me as an Administrator and PM, meeting my stakeholders, who are my unit heads one by one to communicate my vision (the project) has been helpful.

  2. In my organizational context, an effective way to communicate with stakeholders is by sending regular progress reports and holding review meetings with school management and staff. For example, when managing a school-related project such as a new program, event, or system, I would prepare a brief written update highlighting key achievements, upcoming activities, and any challenges that need attention. This would then be discussed in a short meeting where stakeholders can provide feedback, ask questions, and make decisions. This approach ensures transparency, keeps everyone aligned with the project objectives, and strengthens collaboration.

  3. The strategy that has worked well in my situation is giving constant communication with all lines of control which includes any changes or extra thing that needs to be done or adopted. Tailor your communication to the person individually, knowing how they interact will make a smooth communication. Writing down the communication so you know who each communication is for and getting their feedback to push it back to the team to carry the team along.

From the video which is quite enlightening and will help in our daily work as a Project Manager, knowing the stakeholder you are communicating to helps to give an effective message.
    * For an action oriented person, you should be quick, fast and gone as quick as possible
    * For an analytical person, the trick to the trade will be to bring evidence and data to back up what you are saying
    * For a people oriented person, the trick will be you showing that you care about the message you are conveying
    * For an innovative person that lives in the future, you need to give them a vision, to inspire them on a good story

  4. Communication is an essential part of project management, therefore, Communication with stakeholders has to be a constant thing. Communication has to be planned, well organized, having a written communication plan and how to approach different stakeholders, giving and sending out reports to the right audience, addressing issues and providing solutions alongside.

  5. 1. Identify and Understand Your Stakeholders: Start by mapping out who your stakeholders are, including their interests, influence, and expectations. This involves conducting a stakeholder analysis to categorize them (e.g., high-power/high-interest vs. low-power/low-interest) and tailor your approach accordingly.
    .
    2. Be Clear, Concise, and Transparent: Always communicate in straightforward language, avoiding jargon unless it’s audience-appropriate. Share information openly to build trust, and ensure messages are focused on key points without unnecessary details.

    3. Encourage Two-Way Communication and Feedback: Make interactions dialogic by actively listening, asking questions, and soliciting input. Respond promptly to concerns and report back on how feedback has been incorporated to show stakeholders their voices matter.

To wrap up, here’s a concise bullet-point summary of the key strategies and my approach:
●Identify and Understand Stakeholders: Map and analyze for tailored engagement.
●Be Clear, Concise, and Transparent: Use straightforward, honest messaging.
●Encourage Two-Way Communication: Actively seek and respond to feedback.

  6. In my own context, communicating with stakeholders would mean breaking down sustainability reports and data into simple, relatable terms. Not everyone in the organization speaks the “technical” language, so I’d need to make sure my reports and communication connect with their work. It also means listening carefully to their concerns and finding common ground, because some may prioritize costs while others care more about compliance or impact. For me, it’s really about building trust and making sure everyone feels included in the process.

  7. In my organizational context, the following applies to me as a Project manager:
    1. When having conversations with stakeholders, I need to tailor my communication style to the person in front of me – Meaning I should communicate the way the person will understand and be able to also contribute to the discussion
    2. I should have a written-down communication plan. This helps to know how to talk to different stakeholders, at what point in time to talk to them and what key messages are needed to be passed across.
    3. Reporting to stakeholders. This ensures that everyone understands the level of progress on the project and particularly if there is any key risk or problem.
    4. As a project manager, I should not be afraid to bring bad news to the table. My role is to ensure that issues are addressed and resolved.
