Observing and getting to know the key stakeholders in a project and how they Communicate is key.
My style of Communication as an internal auditor differs from one person to another.
Also the stage am at during the project execution will also determine what style of Communication I will adopt.
There are times you might need to make phone calls,atimes it might just be emails and other times might be scheduling online or on-site meetings.
There is no one way that suits all, understand your stakeholders and the level you’re at during the project execution.
In my organizational context, the communication style that applies best is the written down communication plan, this helps as a guide as to what information the project manager intends to pass across to the stakeholders. Also getting the right level of information the stakeholders need is also a good communication strategy as the stakeholders are not bombarded with irrelevant information.
As an Accountant, effective communication to the stakeholders is the key to the success of every project and aids the organization to make informed decisions. In my line of work, I endeavor to have a written down communication plan, with my analytical reports that shows a true picture of what I am communicating. I also proffer solutions to every problems raised as it helps clarify any questions that would have been raised. I also adopt different communication style for different stakeholders.
Communication styles differ based on the industry, circumstances, and the individuals involved in a project. In my organizational context, I would shape my messages to be people-oriented. This means my communication style will be designed to resonate with the emotions and sentiments of the stakeholders.
With this topic, I recall a rice productionproject in which I was involved in 2018. Meetings were held almost on daily basis to discuss progress and problems of the project. Being an agricultural project, everyone stakeholder is very much aware about the importance of time The frequency of communication actually contributed to the success of the project as the project manager was never afraid to bring problem areas to the meeting. Issues raised were given prompt attention and where solutions were to be sought from outside, relevant stakeholders were promptly contacted.
The line manager, the then honorable commissioner for agriculture will never miss any project meeting and will also ensure funds are provided to ensure success of the project.
The most important and effective tool of any project management in any organization or work setting, is Communication… This can not be overemphasized. The method of communication is of utmost importance. You have to communicate clearly and make it as simple as possible for all stakeholders who are involved in the project to understand perfectly what they are dealing with .. you must be able to communicate at every given time to the sponsors , the organisers, the project team members, even to the end users of whatever project you are involved in.
We can then say Communication is the heartbeat of any project and has the success key to any successful project that can produce the desired result in real time too
Never bring bad news for the first time in a meeting involving all the stakeholders, ensure you meet the different stakeholders individually, highlighting the fall outs to them.
It is important to report regularly to the stakeholders to know how well the project is going, if there will be any change of plans and how best you should go about it.
When reporting, it should be timely for the intended stakeholders, one should also make it less bulky(precise).
Lastly, a communication plan should always be drafted when discussing with stakeholders. To add to it, one should get feedbacks from the stakeholders after having a communication session with them.
