Communication is a very key aspect of project management. Being on top of what is happening in a project itself is key. I will say a well written played down communication plan will work perfectly for my organization. It gives me a guide on how to communicate the right information at right time, as it is required.
It reduces pressure, because it has direct impact on project performance.
It is seen in project management that COMMUNICATION is the major part of projects because there has to be clear understanding of the projects from both the team members and the sponsor of the project so it is necessary to have a written down plans of how information would be communicated throughout the projects in other not to miss any part of the project. so project manager should communicate constantly with the teams members and stakeholders.
Communication with stakeholders has been a major exercise.
Operation : In an ongoing operation one need to give a continuous report that will make the stakeholders understand how effective the operation is going
Report: In this context communication is key when you’re reporting expecially when all stakeholders are not professional one need to explain and analyze the report in the language they’ll all comprehend.
Within my organisational context, I handle negotiations, business sourcing and I am part of execution team. Constant communication with all lines of control have severally proven effective and also a bane where neglected.
Having heard the three project managers talk on communicating with stakeholders, I will profile (in my capacity) all stakeholders (small or big) because the project success and deliveries depends on them. Will plan with them, desire feedback, give open door policy for suggestions but will maintain project focus.
This, I believe, will improve success of our projects in terms of cost reduction, timeline and quality of project deliverables.

In approaching stakeholder communication within my role, I find the most effective approach involves:
Personalized Communication:
Adapting my communication style to cater to the unique personalities and understanding of each stakeholder. Recognizing individual differences is key to conveying the project’s status effectively.
Strategic Communication Planning:
Developing a comprehensive communication plan that is well-documented and can be shared in advance of meetings. This ensures clarity and alignment on the agenda and objectives.
Incorporating Evidence and Data:
Integrating relevant evidence and data into the communication process, particularly for stakeholders who adopt an analytical approach. Providing tangible information enhances transparency and addresses the needs of those who rely on concrete facts.
By implementing these strategies, I aim to foster clear, tailored, and data-supported communication with stakeholders, contributing to the overall success of project management endeavors.
IN COMMUNICATING WITH STAKEHOLDERS In my line of work, I feel strongly that the best form would be:
1. Tailoring my communication style to fit each individual investor or Stakeholder: Each stakeholder, has different personality, understanding; so to communicate effectively to them the state of the project, it must be patterned into their individual differences.
2. Before then, I must also have a well written down communication plan and documented properly which can be sent ahead of the meeting day.
3. Must also in the communication process must bring in Evidences and data to the communication/meeting table for the sake of those investors who are Analytical in their approach.
I find the suggestion not to bring bad news for the first in a general stakeholders meeting. I had a very ugly experience doing that sometime ago, and it nearly cost us the project.
Like advised it is best to meet stakeholders individually first with bad news, giving them the opportunity to digest the information, form an opinion, and have an informed decision before the general Stakeholders meeting.
This strategy has proved quite useful to my team. We get to leverage on the opportunity to see the reaction of individual Stakeholders, calm their fears, and even in some instances arrive at an agreement of a plausible solution to the challenge at hand. That enables the project manager to at the general stakeholders meeting, have allies already who subscribe to and vote in favor of suggested solution, and that makes the process a whole lot easier for the project manager.
Writing out a detailed plan of communication with different stakeholders is essential to channeling the right issues to the right person. Know their various expectations and see if the project aligns with them
As a Project Manager, a well thought out, defined, detailed and well analysed plan is very important to present to all stakeholders. These plans must meet the expectations of each individual stakeholders. After this is done, how you communicate these plan and project is also very germane. Communication must be clear and not ambiguous and must include proper timelines, the individual tasks bearers, proper feedbacks and accountability/reporting. All stakeholders must be adequately carried along and if there are any changes be it good or bad it must be swiftly looked into, to find the best possible way out of it within the shortest possible time frame and all these must be escalated /communicated to all stakeholders in clear ways/terms they would understand and a decision arrived at on the way forward. Thank you.
