    2a) Having a client onboarding process: this is vital because it helps to have a good impression and clarify expectations so they can understand the structure of your business and constant virtual assistant services even before getting onboard and to have this effect and make work easier we need to use CRM programs like Dubsado.
    B) Setting client expectations: this is another Important one because lack of expectations from our clients can be one of our biggest problem as virtual assistant,so for us to prevent this from happening with our clients we need to know what they want and keep asking questions, contact each of our clients and updates them on their status,this will let clients know we are serious and creates a smooth workflow.
    2c) when a client is dissatisfied with my work the first thing I have to is not be defensive but own up to my mistakes and shortcomings, listen and let them explain their complaints.Then I can clarify the issue by asking questions to understand their complaints, propose a solution or make another plan to help resolve the issue.

    Factors to consider when setting a price rate includes:
    a. The location of your clients and the rates VAs charge based on the location, so that you don’t charge too low even in an entry level or too high even as an expert; should be moderate.
    b. Your living cost, tools and subscriptions involved for efficient workflow.
    * Having a clear structure pricing for your business helps you to keep track of your earning, enable client comprehend the value you offer and allows you work efficiently.

    Strategies to ensure positive relationships with client includes:
    a. Provide solutions to your client’s pain point: restrategizing and providing options that works well for your clients business or personal needs.
    b. Always give your best to exceed their expectations and sometimes include little bonuses e.g including a road map for a client who is new to an environment rather than just mail them the address.
    * In a situation where a client is dissatisfied with my services, I would first apologise and grant a compensation; could be a discount to the service offered or a bonus that minimally takes off a burden from them outside your job description after a careful research on the company and client.

    In Securing client’s data, I would install security softwares, use a password on the computer or device the data is located and ensure to open these data on a minimized view, properly shredd any confidential document that is offline.

    As I mentioned in (aii) above, you don’t want to over charge so as not to chase away your clients and you don’t want to undercharge as well so your client(s) don’t see you as incompetent or doubt your authenticity.

    1a(i) Research Industry trends- go online e.g Google by searching for VA’s that offer similar services and the amount they charge per hour, to be able to set your own rate.
    ii) Consider your livable wage- you need to take a rough estimate of what you spend per month and compare them to your earnings, if you’re not making any profit, then you need to reset your rate to be able to pay your bills.
    b) A clear pricing structure is suitable to have a stable business, in the sense that if you price yourself too high, you’ll be at risk of loosing your business, because of how expensive you are which will push your client to another VA, on the other hand, if you price yourself too low, client might take their business to another VA, because they’ll be doubtful of your authenticity.

    You can use various calender app e.g Google calendar. The step by step process include:
    1) Review and access- you need to review and access the reoccurring events your client has, the usual meetings and so on using various shortcut on the Google calendar, M( Month), W( Week), D( Day), T( Today).
    2) Plot out their life- you need to ask the client for their preferences.
    3) Plot out their business side.
    4) Plot out Break time/ Focus time.
    5) Create Templates- you can use Chatgpt to create a template you’ll use for your client.
    6) Double/ triple check the information- you have to do this to check for errors.
    7) Checking for conflicts- to see whether there are two events occuring in the same day.
    8) Scheduler- use a scheduler to book events.
    The best practices you can use include:
    i) Keep in mind the time zone difference- you can do that by using savvy time, this tells you the time difference of the city your client is located.
    ii) Review the calendar often- this is done to access the needs or practice that stays and the one that needs to be removed, this has to be done regularly for effective management.
