Your clients aren’t the everyday persons, you have to intentionally search them out or position yourself on Social Media apps like LinkedIn or Instagram to let them know services you’re offering.

    Using Gmail as an example, I’ll first assess the mails in my clients inbox, what are the common mails? Are there filters or processes in place? Are there some I need to unsubscribe to? Which are the important ones? After answering these questions, I’ll notice the patterns a lot of the mails take before I start modifying the inbox. I’ll create filters to sort the mails into those needing prompt attention, those I can reply to, and those that are just promotions. I’ll also create templates to make it easier to work with.

    i) Review and Access: Reviewing and assessing the daily, weekly, and monthly patterns of my clients.Study what their schedule looks like, look out for recurring actions ,I can also get the information I need about their daily activities(routine) by asking questions.
    ii) Plot out their life: I will plot out my clients’ lives by capturing their lifestyle, and making sure I make time for their self-care, breakfast, lunch breaks, rest, and end-of-the-day activities, considering their preferences
    iii) Plot out Client Business Side: I would plot out their business activities such as scheduling meetings, appointments, and events related to their business in order of priority. I would take my time to include in the calendar recurring activities/meetings, stating the specific time and deadline. I can set daily, weekly goals, filling in the task section on the calendar app.

    iv) Plot Out Break Time/ Focus Time: I would plot out break times ,public holidays, special celebrations, focus times, no meetings days, etc.

    v)Check for Conflict: I will check for conflicts to ensure that no activity overlaps with each other and look for areas where adjustments need to be made.
    vi) Create Template: I can make use of ChatGPT to create a schedule template or model after outlining all activities and meetings, stating dates, time, and deadlines altogether as a “Prompt”, then insert the search results into the calendar software and set reminders as well.
    Also, some of the best practices to apply would include:
    i) Keeping in mind the time zone differences, using tools like SavvyTime.
    ii)Reviewing the Calendar often.
    iii) Blocking out important tasks
