1) Setting Rates
a) Two factors to consider when setting your hourly or project-based rates as a virtual assistant.
i. Scope & complexity of work: Executive support with CRM upkeep, reporting, and stakeholder comms commands higher rates than simple data entry. Add-ons like EST availability, same-day turnaround, or confidential C-suite support increase the rate.
ii. Market benchmarks + your costs: Research rates for my niche (Executive Assistant) and region I serve (US/PST). Calculate real costs (software, internet/power, taxes, learning) and target utilisation (billable hours) so my rate is sustainable.
b) Why a clear pricing structure matters
i. Sets expectations & prevents scope creep: Clear inclusions, SLAs, and change-request rules keep projects on track.
ii. Builds trust & speeds decisions: Transparent packages (e.g., Retainer 10/20/40 hours; project bundles) reduce haggling and help my clients match needs to budget.
2) Client Management
a) Two strategies for great relationships
i. Structured onboarding and cadence: Kickoff doc (goals, tools, approvals, response times), shared dashboard (ClickUp/Asana/Notion), and a fixed rhythm (15-minute weekly sync and Friday recap).
ii. Proactive progress visibility: Send my clients concise status updates (Done / Doing / At-Risk), surface blockers early, and propose solutions instead of only reporting problems.
b. If my client is dissatisfied with my work, I L.E.A.R.N.: Listen fully, empathise, apologise for impact, resolve with a written recovery plan (specific fixes, owner, due date), and notify progress. Offer a revision or credit if warranted. Close with a short “prevention” note (updated SOP, new QA step, clearer brief template).
5) Practical Skill Application — Email Management (step-by-step)
a. Goal: Inbox to action centre; response-time SLA (e.g., less than 4 business hours for Priority, less than 24 hours for General); zero missed executive priorities.
b. Discovery & rules: Map senders, priorities, approvals, and SLAs. Define what I can answer in comparison with what my Executive needs.
c. System setup: Gmail/Outlook (or Superhuman/Front).
d. Create labels: VIP, Clients, Internal, Finance, Action, Waiting, Read-Later.
e. Filters & VIP routing: Auto-label/priority for CEO, board, top clients; auto-archive newsletters to Read-Later.
f. Templates & snippets: Canned responses for intros, meeting confirms, follow-ups, FAQs; merge tags for speed + consistency.
g. Scheduling & follow-ups: Use Calendly/Google Calendar smart slots; add follow-up nudges.
h. Escalation lane: One label (“Needs Executive Review”) and Slack/Teams ping for items that require the executive’s decision, batch for a single daily approval window.
i. Automation: Zapier to send VIP alerts to Slack, pipe receipts to a “Finance” label, and log commitments to ClickUp/Asana.
j. Quality control: Quick grammar check (Grammarly), link checks, and subject-line standard.
h. Metrics & improvement: Track weekly, inbox size, time-to-first-response, mails answered without Executive, and number of missed follow-ups. Update SOPs monthly.
