A Virtual Assistant provides support while not physically presents in the client workplace.A virtual assistant will normally work from the comfort of their home but still have access to the relevant planning materials such as shared calendar from a remote location.

    A general virtual assistant offers a general or wide varieties of services which includes adminstrative tasks, management of emails, arrangements of appointments, preparation of expense reports, filling of papers, customer service and management of social media account, calendar schedule etc.

    Specialized Virtual Assistant offers services specifically in a specialized area of expertise. Examples are:

    A. Social media virtual assistant: social media expertise, applying a business online presence and engaging with it’s audience

    B.Technical virtual assistant: they keep website running and tackles software issues

    Some of the essential tools for a virtual assistant includes:

    A. Customer relationship management tool(CRM). It increases processes, efficiency, lowering operation cost and improving customer interaction experiences. CRM collects and documents client information information in a single database. Popular CRM tools includes Dubsaddo, honeybook copper, Zoho etc.

    B. Spreadsheet: one important task as a virtual assistant is managing a spreadsheet. Microsoft excel is the software that is use to create, maintain a spreadsheet and analyse stored data

    C. SEO tools: search engine optimization. It enhances website so that it appears more frequently when you search for items or services connected to the company on Google. It helps with creating content that are can boost ranking inserting keywords

    A specialized virtual assistance handles complicated and strategic tasks with specialized skill and expertise. Whereas, a general virtual assistance provides support for general administrative tasks. It is mostly considered by many as the jack of all trades since they do a variety of tasks. Regardless of the workload they have, general virtual assistance receive less compensation as opposed to specialized ones. This is mainly because the tasks they complete can be done by almost anyone else, and don’t require specialized knowledge or skills.
    Examples of area a virtual assistant can choose to specialise in are social media management, Real estate and book keeping among others.

    (i) CRM: The basic function of CRM (customer relationship management) is to collect or gather all customer’s data through calls, emails, social media etc and coordinate there interaction in one system. The key thing in CRM system is a database of customer’s contacts to enable an effective management of sales process, marketing and customer service by a virtual assistant or or an organization in general. CRM can enhance VAs workflow because it is a comprehensive tool that helps virtual assistants keep track of client information, manage projects, and automate routine tasks as it provides a centralized platform for the earlier mentioned pecks
    (ii) Project Management: This ensures that projects are completed on time, within allocated budget without undermining quality or standard. Project management helps to identify risks and mitigate them, ensure effective management of resources and carry stakeholders along all through the project lifecycle. Project management enhances a virtual assistance workflow by highlighting the tasks in a project like planning, organizing and tracking progress to keep projects on time. It helps to streamline the detailing of a project to the VAs while the top managers/ leaders focus on the big-picture goal for the business.
    (iii) SEO: This stands for search engine optimization and is a concept that allows search engines understand your content and make it discoverable by users. It also enables users in their decision making whether or not to visit your website through search engines. An effective knowledge of how SEO works can enhance a VAs workflow by prioritising what is most important in the SEO-related tasks such as keyword research, content creation, website analysis, link building and on page optimization

It can also mean narrowing down competition in the job market and becoming an expert at what you do. Niching down is very beneficial as it reduces the number of persons that can offer specific services with specialized skill and expertise, as such it opens you up for higher remuneration and increase your demand by hirers because they prefer to work with someone highly skilled with the conviction that they will get the best result with them. Albeit, choosing a niche focus can be challenging as this can take time. During this time, you will try your hands on different areas to know where you belong based off of what you enjoy doing, your skills and understanding market demands. This phase can be quite daunting
