~~ Thinking about complexity – Discussion

Hello, this module focuses on how to manage projects in a complicated world. The world is changing rapidly and in unpredictable ways. Just consider the changes caused by new technology, worldwide trade and competition, social and political disturbances, and the environmental emergency.

You might think that project management has little to do with these major global matters. However, all kinds of organizations, whether large or small, are impacted by the world they operate in. How a company understands and responds to this complexity influences the projects it chooses to undertake and how it handles them.

This week, we begin by examining frameworks that help us grasp this intricate world. These frameworks guide our actions, responses, and decision-making in the face of complexity.

Next, we delve deeply into various methods and practices for managing projects when faced with uncertainty, instability, and change. These methods include linear approaches and life cycles, often known as the waterfall method, as well as iterative or agile approaches. You will explore the pros and cons of these methods, as well as the ongoing debates about them.

By the end, you’ll grasp how to use and blend these methods effectively to achieve successful project outcomes.

To start off this week, we’re interested in hearing about your experiences. Considering those major global issues like technology, competition, social and political changes, and environmental problems, think about how they impact your organization and the projects you’re involved in.

Feel free to share your experiences with fellow learners in the discussion.

  1. The impact global issues like technology, competition, social and political changes, and environmental problems have had in my organization and the projects we have involved in.
My organization’s role is to stand in the gap for the shortfall in Energy production by creating an alternative source of Power generation popularly known as Solar/Renewable Energy.
    Technological Impact:
The organization is technologically enhanced in the sense that research and advancement in technology actually birthed the company. Since then, it has provided uninterrupted power supply to various schools, hospitals, communities, SMEs and industries. Technology has brought a lot of advancements in this field compared to our early days when we started. It has made things easy and less complex. Batteries and now digitally monitored, inverter systems are now hybrids rather that two separate entities (inverter and charge controller) and several other innovations coming up. Solar panels have been upgraded and still upgradable. I would say technology has rather impacted positively in this line of business.
    Competition:
There has been rapid increase in competition in the solar industry. These are have been positive and negative at the same time. The negative part is that most of these companies have the funds to invest, but don’t have the experience, hence providing substandard services to clients. The positive part is, the rise of more companies has helped in balancing cost of the services rendered.
    Social & Political Impact:
Political impact here has not been positive. Government have not been able to come to terms with the fact that Renewable Energy is one of the best solution to solving Power problems. Hence, they have not been able to create a good enough support system for the thrive of Renewable Energy.
    Environmental Problems:
One of the merits of Renewable Energy is eradicating carbon footprints. The introduction of Renewable Energy has been of great impact to the environment and vice versa.

  2. Technology keeps evolving at an exponential rate. Everyday, new and simpler ways of executing projects are developed. So a project manager needs to keep abreast to current trends to be at par with global standard. If not his project might be negatively impacted by lack of ideas on new trends in technology.

Economically and politically, a project is affected negatively or positively depending on the policies on board.

  3. Self-Management:

As a project manager, you also need to manage your own time and stress. Maintain a healthy work-life balance and seek support from mentors or peers when needed.
Managing a complex project can be challenging, but with careful planning, effective communication, and a proactive approach to problem-solving, you can increase the likelihood of successful project completion.
    Define Clear Objectives:

Start by clearly defining the project’s objectives, goals, and scope. Make sure you understand what the project aims to achieve and what success looks like.
    Assemble the Right Team:

Select a diverse and skilled project team with the expertise needed to handle the complexity of the project. Ensure team members understand their roles and responsibilities.
    Create a Detailed Project Plan:

Develop a comprehensive project plan that outlines tasks, timelines, dependencies, and resources. Use project management software or tools to help you track progress and manage resources effectively.
    Risk Assessment and Mitigation:

Identify potential risks and uncertainties associated with the project. Develop a risk management plan that includes strategies for risk identification, assessment, and mitigation.
    Communication Strategy:

Establish a robust communication plan that outlines how information will be shared among team members, stakeholders, and other relevant parties. Effective communication is crucial for managing complexity.
    Stakeholder Engagement:

Identify and engage key stakeholders early in the project. Keep them informed about progress, changes, and important decisions. Address their concerns and expectations proactively.
    Resource Management:

Manage resources efficiently, including budget, personnel, and materials. Allocate resources according to project priorities and monitor resource utilization closely.
    Adaptability and Flexibility:

Complex projects often require adaptability. Be prepared to adjust the project plan as new information becomes available or unexpected issues arise.
    Quality Control:

Implement a robust quality control process to ensure that project deliverables meet the required standards and specifications. Monitor and assess quality throughout the project lifecycle.
    Documentation and Reporting:

Maintain thorough project documentation, including meeting minutes, status reports, and change requests. Regularly update stakeholders on project progress and any deviations from the plan.
    Issue Resolution:

Develop a process for identifying and resolving issues as they arise. Encourage team members to report problems promptly and work together to find solutions.
