As a project manager it’s very important to have a good communication plan with your client, team, project sponsor and everyone in involve. In your communication you can bring suggestions when needed, communicate every changes, even if it is a bad news, don’t be afraid to bring it up as that will help for prompt attention and support regarding the damage, additional equipment needed, a mistake made etc. Organize meetings with the client, team, sponsor and everyone involve.
Communication as a PM is essential for the overall outcome of the project. To effectively communicate with stakeholders, it is recommended to have a written communication plan, ask questions, have a proper reporting system, engage in constant communications.
I believe communicating with stakeholders is an essential part of every project
I communicate with stakeholders through clear, timely, and transparent updates, actively listen to their feedback, and ensure everyone stays aligned with project goals and expectations.
Communication is very important in project management, as a project manager keeping stakeholders(client, team, etc) updated with information be it change in plan, progress, even things like decision are not left behind, achievement or even if the project is behind time (as been transparent and clear are character of a good project manager) and a good stake holders map enable effective communication.
Communicating with stakeholders everyday to learn of any new changes is very important as this will determine the success of the project. Also, having a plan on how to communicate with the stakeholders is also a priority. Problems will arise, and as a project manager, addressing the issues and communicate to the stakeholders how the issue will be resolved is also important.
As an Account Officer transitioning to a Project Manager, I must shift from reporting past numbers to forecasting project outcomes. A successful PM adapts their communication style to match each unique stakeholder group:
Sponsors: Use the “Language of Value”—keep updates high-level, focusing strictly on budget health, ROI, and strategic risks.
Clients: Use the “Language of Clarity”—eliminate technical jargon and use visual mockups to manage expectations and prevent scope creep.
Project Team: Use the “Language of Collaboration”—provide precise task definitions, assign clear ownership, and proactively remove operational blockers.
Other PMs: Use the “Language of Integration”—coordinate shared timelines and resources to prevent project dependencies from clashing
I as a student and a football coach for my departmental team I encouragey teammates with effective communication, I bring to them different strategies to go about the way to play
I never tell them they are wrong I only correct them by giving them an alternative and also telling them that they can do better in there playing style.
I work with a very realistic time schedule with them in training and other activities too.
And then I also show them that I care about them and all that concerns them
As an Exams Supervisor, one strategy that applies well in my organizational context is adapting communication based on the stakeholder involved. During examinations, I interact with candidates, invigilators, administrative staff, and management, and each group requires a different communication approach.
For example, candidates need clear and calm instructions to reduce confusion and anxiety, while invigilators require direct coordination and timely updates to ensure smooth exam delivery. Management and stakeholders often need concise reports and professional feedback regarding the conduct of the exams.
I also believe active listening, timely communication, and maintaining professionalism under pressure are important strategies that help ensure effective collaboration, proper coordination, and a positive stakeholder experience during examination processes.
I think communicating with stakeholders is very important in every project because different stakeholders have different expectations and interests. Proper communication helps everyone stay informed and understand what is going on in the project. It also helps to avoid misunderstandings and confusion.
One thing I noticed is that communication is not the same for everybody. Some stakeholders may prefer brief updates while others may need more detailed explanations. That is why a project manager needs to know how to communicate effectively with different people.
Good communication also helps to build trust, improve teamwork, and keep stakeholders engaged throughout the project. When communication is poor, it can lead to delays, conflicts, and lack of support for the project.
